The Chesapeake Bay Outward Bound School (CBOBS) is a non-profit adventure-based educational organization with programs that deliver character development and self-discovery in the wilderness, in the city, and in school. CBOBS operates programs in Baltimore City, the Appalachian Trail in MD and PA, the Potomac River, the Dolly Sods Wilderness Area in WV, and the Eastern Shore of the Chesapeake Bay.

Job Overview and Objectives

The Office Manager ensures that all office staff can work comfortably and efficiently by maintaining supply and technology inventories, ensuring reliability of office technology and equipment, and managing office maintenance requests.  The Office Manager will also provide administrative support to the Executive Director (ED), like managing email, scheduling, preparing meeting materials, and providing project management support.  The Office Manager is the keeper of office policies and procedures and supports enforcement of workplace safety practices.   When needed, the Office Manager will be asked to communicate on the ED's behalf to staff, board members, alumni, community members, high-level funders, and Outward Bound USA.  Independent judgment is required to plan, prioritize, and organize this diverse workload.  This position is based at CBOBS’ headquarters in Gwynns Falls Leakin Park in Baltimore, MD.

Duties & Responsibilities

Office Management (50%)

  • Serve as primary point of contact for CBOBS office service vendors: utility companies, copier services, cleaning company, IT providers, landlords, etc.
  • Manage office equipment, technology, and supply inventories, including purchasing.
  • With the support from the Finance & Administration Director, develop office policies and procedures, and ensure they are implemented appropriately.
  • Identify opportunities for process and office management improvements, and design and implement new systems.
  • With support from the Finance & Administration Director, develop budget for office services and executive and board expenses.
  • Manage office services and executive expense budgets.
  • Perform receptionist duties; greet visitors, answer and direct phone calls, receive and sort incoming mail and deliveries.
  • Manage office space and related infrastructure, including workstation moves and additions.
  • In conjunction with CBOBS’ IT services provider, manage and maintain the organization’s IT infrastructure.

Executive Director Support (50%)

  • Provide administrative support including scheduling meetings and conference calls, maintaining calendars, arranging travel, managing email and correspondence, and assisting in meetings.
  • Serve as liaison to the Board of Trustees; plan all board meetings, create meeting packets, take minutes, and be point of contact for all board members.
  • Work independently and within a team on special nonrecurring and ongoing projects. Act as project manager for special projects, at the request of the Executive Director, which may include planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.

When requested, draft and/or edit correspondence, including proofreading copy for spelling, grammar, clarity, and layout, making appropriate changes as necessary.

  • Proficiency in Microsoft Office, with interest and aptitude to learn new software and systems, required.
  • Experience with Salesforce or similar CRM software preferred.
  • Must have all vaccines recommended by the CDC, including COVID-19.
  • Must successfully pass a State of Maryland and an FBI Criminal Background Check.

Physical Requirements

  • Ability to sit at a desk or computer 90% of the time or greater.
  • Ability to carry weights up to 15 pounds.

Minimum Education & Work Experience

  • High school diploma or equivalent and 2 years office management or executive assistant experience.

This is a full-time, exempt position.  Applicants should expect sporadic evening and weekend work.

COMPENSATION & BENEFITS

Salary Range: $34,800-$52,200; commensurate with experience.
